These Terms and Conditions form part of the agreement between the applicant/student and Edu-Build Institute WC and EC (Pty) Ltd, operating publicly as QCMD Institute, together with the applicable application, registration information, programme information, fee schedule, payment arrangement and any approved written amendments.
By electronically selecting the applicable “I accept / I agree to the Terms and Conditions” checkbox and submitting the relevant form, the applicant/student confirms that these Terms and Conditions have been read, understood and accepted.
1. DEFINITIONS
For purposes of these Terms and Conditions:
Applicant means a person who has submitted an application but whose admission and registration have not yet been completed.
Student means a person whose admission and registration have been confirmed in accordance with QCMD Institute requirements.
Institute means Edu-Build Institute WC and EC (Pty) Ltd, operating publicly as QCMD Institute.
Registration Fee means the R2,000 fee payable as part of completing registration.
Tuition Fees means the programme fees payable in addition to the Registration Fee.
Recurring Card Payment means an authorised recurring electronic card-payment arrangement through an approved payment service provider.
Bulk EFT Payment means an approved EFT payment covering at least six months of tuition in advance or full settlement of the applicable tuition amount.
Responsible Payer means the student, parent, guardian, employer, sponsor or other person responsible for all or part of the student's fees.
2. APPLICATION, ADMISSION AND REGISTRATION
2.1 No Application Fee
There is currently no application fee for the January 2027 Intake.
2.2 Application Does Not Constitute Admission
Submitting an application:
does not guarantee admission;
does not guarantee registration;
does not automatically reserve a place;
does not confirm academic eligibility; and
does not constitute acceptance into a programme.
Applications remain subject to programme requirements, document verification and QCMD Institute's admissions process.
2.3 January 2027 Programmes
The January 2027 application process currently includes:
NQF Level 4 – Occupational Certificate in Early Childhood Development
and
NQF Level 5 – Higher Certificate in Early Childhood Development
Under the current admissions requirements supplied by QCMD Institute, Matric is not required for the NQF Level 4 programme.
The NQF Level 5 programme normally requires an appropriate NQF Level 4 ECD qualification.
Applicants whose eligibility requires clarification may be requested to provide additional information or documentation.
2.4 Supporting Information and Documents
Applicants and students must provide information and supporting documentation that is true, complete and accurate.
False, altered, misleading or fraudulent information or documents may result in rejection of an application, cancellation of registration or other appropriate action.
3. REGISTRATION AND PROGRAMME FEES
3.1 Registration Fee
The Registration Fee for the January 2027 Intake is:
R2,000.00
The Registration Fee may be paid using one of the following options:
R2,000 once-off;
2 payments of R1,000 each; or
4 payments of R500 each.
The full R2,000 Registration Fee must be paid before registration is regarded as complete and before the student is granted access to the first class or active learning environment.
Partial payment of the Registration Fee does not constitute completed registration.
Where the Registration Fee is paid in instalments, the full balance must be settled before the applicable class-access or commencement date.
3.2 NQF Level 4 Programme Fee
The total programme fee for the January 2027 NQF Level 4 – Occupational Certificate in Early Childhood Development is:
R13,500.00
comprising:
Registration Fee: R2,000
Tuition Fees: R11,500
Where tuition is paid over 12 instalments, the monthly amount will be approximately R958.33, subject to final rounding and the student's approved payment schedule.
3.3 NQF Level 5 Programme Fee
The total programme fee for the January 2027 NQF Level 5 – Higher Certificate in Early Childhood Development is:
R14,000.00
comprising:
Registration Fee: R2,000
Tuition Fees: R12,000
Where tuition is paid over 12 instalments, the tuition amount is R1,000 per instalment.
3.4 Tuition Is Payable in Advance
Tuition fees are payable in advance.
The student's first tuition instalment must be successfully paid before access to the first class or active learning environment is activated.
The first tuition payment constitutes instalment 1 of 12.
For a student commencing with the normal January intake, the remaining tuition instalments will ordinarily be payable monthly in advance, beginning in February 2027, in accordance with the approved payment schedule.
4. LATE COMMENCEMENT AND CATCH-UP PAYMENTS
Where QCMD Institute approves a student to commence after the normal January commencement date, the late commencement does not automatically reduce the total applicable programme fee.
A late-starting student must:
pay the full Registration Fee before registration is completed;
pay the first applicable tuition instalment before class access is activated; and
accept an approved catch-up payment schedule for the outstanding tuition balance.
Where fewer normal payment months remain, QCMD Institute may require more than one tuition instalment to be collected during a particular month so that the programme fee can be settled within the approved payment period.
For example:
a February starter may require one double-instalment month;
a March starter may require two double-instalment months.
The exact timing of catch-up payments will be included in the student's approved payment schedule.
QCMD Institute will disclose any catch-up or double-payment month before the relevant recurring charge is processed.
Where reasonably possible, catch-up instalments may be spread across the remaining payment period instead of being collected in consecutive months.
A late commencement does not create an automatic entitlement to a reduced programme fee or an extended payment period.
5. MONTHLY PAYMENT METHOD
5.1 Recurring Card Payment Is Compulsory for Monthly Tuition
Students who elect to pay tuition monthly must maintain an approved recurring card-payment arrangement.
Recurring card payment is the standard and compulsory method for ordinary monthly tuition instalments unless QCMD Institute Finance approves an alternative arrangement in writing.
Manual month-to-month EFT payments are not an approved substitute for the required recurring card-payment arrangement.
5.2 Payment Authority
By selecting a monthly tuition-payment option, the student or Responsible Payer authorises the approved payment service provider to process recurring payments according to the student's disclosed payment schedule.
This authority may include disclosed catch-up or double-instalment amounts applicable to an approved late commencement.
5.3 Maintaining a Valid Payment Method
The student or Responsible Payer must:
maintain a valid payment card;
keep payment details current;
ensure sufficient funds are available;
update expired, cancelled or replaced card details promptly; and
maintain the approved recurring-payment authority for the duration of the payment arrangement.
Cancelling, blocking, replacing or allowing a payment card to expire does not cancel the underlying financial obligation.
6. EFT AND BULK ADVANCE PAYMENTS
6.1 No Ordinary Monthly EFT Option
EFT is not available as the normal method for month-to-month tuition payments.
Students paying monthly must use the approved recurring card-payment arrangement.
6.2 Approved EFT Payments
EFT may be accepted where the student elects to pay:
a minimum of six months of tuition fees in advance; or
12 months / the full applicable tuition amount in advance.
6.3 Exceptions
Any exception to the minimum six-month EFT requirement must be approved in writing by QCMD Institute Finance.
Acceptance of an EFT payment on one occasion does not create an ongoing right to make ordinary monthly EFT payments.
7. FAILED OR MISSED PAYMENTS
7.1 Failed Scheduled Payment
Where a scheduled recurring payment is unsuccessful, the outstanding amount remains due and payable.
QCMD Institute may notify the student or Responsible Payer and may make further authorised collection attempts.
7.2 Seven-Day Resolution Period
A student whose scheduled payment fails will have a maximum of seven calendar days from the applicable payment due date or failed-payment date to resolve the outstanding amount.
During this period, the student or Responsible Payer must take reasonable steps to rectify the payment, which may include:
ensuring sufficient funds are available;
updating payment-card details;
re-authorising a payment method where necessary;
contacting Finance; or
settling the outstanding amount through another method specifically approved by Finance.
8. DEREGISTRATION FOR NON-PAYMENT
Where an outstanding scheduled payment has not been successfully paid, verified and allocated by the end of the seven-calendar-day resolution period, QCMD Institute may proceed with deregistration, subject to applicable legal and procedural requirements.
Deregistration may result in the restriction or termination of access to:
classes;
the online learning environment;
learning material;
student portals;
assessments;
academic support; and
other services available to actively registered students.
Deregistration does not automatically cancel amounts already lawfully due under the student's agreement.
8.1 Reinstatement
A deregistered student may request reinstatement after bringing the account up to date.
Reinstatement is not automatic and may be subject to:
payment verification;
academic feasibility;
administrative approval;
programme capacity;
missed academic work; and
other reasonable reinstatement conditions.
9. PAYMENT VERIFICATION
Uploading or emailing Proof of Payment does not itself confirm that:
funds have cleared;
payment has been received;
payment has been correctly allocated; or
the student's account is financially up to date.
Payments remain subject to verification and allocation by Finance.
Where a student uses an incorrect payment reference, the student must provide the necessary Proof of Payment and information so that Finance can attempt to trace the transaction.
A student should not make a duplicate payment merely because an earlier payment has not yet been identified unless specifically instructed by Finance.
10. THIRD-PARTY PAYERS
Where another person or organisation undertakes responsibility for the student's fees, QCMD Institute may require the Responsible Payer to acknowledge the applicable payment obligations.
A third-party payment arrangement does not automatically release the student from responsibility unless QCMD Institute expressly agrees otherwise in writing.
11. CANCELLATION, WITHDRAWAL AND REFUNDS
A student wishing to cancel or withdraw must notify QCMD Institute through an approved written communication channel.
Simply:
stopping attendance;
stopping card payments;
cancelling a payment authority;
ceasing to use the online learning system; or
verbally advising a staff member
does not by itself constitute a completed cancellation.
Cancellation does not automatically extinguish fees or amounts that became lawfully due before the effective cancellation date.
Refunds, where applicable, remain subject to:
the circumstances of the cancellation;
reconciliation of the student's account;
applicable contractual provisions; and
applicable South African consumer law.
Nothing in these Terms and Conditions is intended to remove a consumer right that may not lawfully be excluded.
12. DEBT AND COLLECTION
Amounts properly due and unpaid remain recoverable in accordance with these Terms and Conditions and applicable law.
Where appropriate, QCMD Institute may refer an overdue account for internal or external collection.
Collection charges, legal costs, interest or other recovery charges may only be imposed to the extent permitted by applicable law and the applicable agreement.
13. STUDENT INFORMATION
Students must ensure that information supplied to QCMD Institute remains accurate.
Students must promptly notify the Institute of material changes to:
name;
identity information;
address where applicable;
WhatsApp/mobile number;
email address;
Responsible Payer information; and
other information relevant to their registration.
14. ELECTRONIC COMMUNICATION
QCMD Institute may communicate with applicants and students through approved channels including:
email;
WhatsApp;
SMS;
telephone;
student portals;
online learning environments; and
other approved electronic communication systems.
Students are responsible for monitoring the official contact details supplied to QCMD Institute.
15. PRIVACY AND PERSONAL INFORMATION
QCMD Institute may collect and process personal information reasonably required for:
applications;
admissions;
registration;
academic administration;
identity verification;
student support;
communications;
payments;
debt administration;
accreditation and academic processes;
certification processes;
regulatory reporting;
fraud prevention; and
legitimate institutional administration.
Personal information will be processed in accordance with applicable South African data-protection requirements, including POPIA where applicable.
Information may be shared with authorised academic partners, accreditation partners, payment providers, service providers and regulatory bodies where reasonably necessary and lawfully permitted.
16. STUDY MATERIAL AND INTELLECTUAL PROPERTY
Study material supplied through QCMD Institute or its academic partners remains subject to applicable intellectual-property protections.
Students may not, without authorisation:
reproduce;
sell;
redistribute;
publish;
publicly upload;
commercially exploit; or
provide unauthorised third-party access to
learning materials, systems or login credentials.
17. STUDENT RESPONSIBILITIES
Students are expected to:
participate appropriately in their programme;
complete required academic work and assessments;
comply with academic-integrity requirements;
behave respectfully towards staff and other students;
comply with applicable institutional policies;
maintain the required payment arrangement;
keep contact details current; and
use academic and student-support services appropriately.
Serious or repeated misconduct may result in disciplinary action in accordance with the applicable process.
18. ONLINE AND CONTACT-CLASS DELIVERY
QCMD Institute provides nationwide online study and selected contact-class opportunities.
Contact classes are not guaranteed in every town, city or province.
Physical/contact delivery is currently offered only at selected centres, primarily within the:
Western Cape;
Eastern Cape; and
North West.
Locations remain subject to confirmed enrolment, venue availability, facilitator availability and operational feasibility.
QCMD Institute may reasonably change:
venues;
timetables;
facilitators;
delivery methods; or
schedules
where operational circumstances reasonably require this.
Where appropriate, contact delivery may be moved to online or distance delivery.
19. INTERNATIONAL / SADC APPLICANTS
Selected international or SADC applicants may be considered primarily for online study.
QCMD Institute does not guarantee that a South African qualification will automatically:
be recognised in another country;
meet a foreign licensing requirement;
confer employment rights;
meet immigration requirements; or
satisfy another country's regulator.
International students remain responsible for determining additional requirements that may apply in their country.
20. ACCREDITATION AND ACADEMIC PARTNERS
QCMD Institute delivers programmes through established academic and accreditation partnerships.
For the applicable January 2027 pathway, this may include T4 Technologies (Pty) Ltd, subject to the relevant programme and registration arrangements.
Nothing in these Terms and Conditions should be interpreted as a claim that QCMD Institute itself holds direct accreditation in its own name where this has not formally been confirmed.
21. ASSESSMENT, RESULTS AND CERTIFICATION
Registration does not guarantee:
successful assessment;
progression;
programme completion;
certification; or
any particular academic outcome.
Students remain responsible for satisfying applicable academic and assessment requirements.
Certificates, statements of results and related academic records may remain subject to:
successful programme completion;
assessment;
moderation;
verification;
certification processes;
academic-partner processes;
regulatory processes; and
lawful administrative requirements.
QCMD Institute cannot guarantee certificate-release dates controlled by external bodies.
22. EMPLOYMENT AND FURTHER STUDY
QCMD Institute does not guarantee:
employment;
promotion;
a salary increase;
admission to another institution;
professional registration;
eligibility for another programme; or
any immigration, licensing or regulatory outcome.
Further-study opportunities remain subject to the admissions requirements of the applicable institution.
23. EVENTS OUTSIDE REASONABLE CONTROL
QCMD Institute will make reasonable efforts to continue programme delivery when unforeseen circumstances arise.
The Institute may reasonably adapt venues, timetables, delivery arrangements, facilitator arrangements, academic schedules or operational processes where circumstances outside its reasonable control require such changes.
24. NO WAIVER
Any extension, indulgence or temporary relaxation granted by QCMD Institute does not constitute a permanent waiver of its rights.
Failure to immediately enforce a provision does not automatically prevent later enforcement.
25. ELECTRONIC ACCEPTANCE
Acceptance of these Terms and Conditions may take place electronically.
By:
ticking the relevant Terms and Conditions acceptance checkbox;
submitting the applicable electronic application or registration form; and/or
completing an electronic payment authority,
the applicant/student confirms their acceptance where legally valid.
The electronic date, time, contact record, form submission and acceptance record may be retained as evidence of acceptance.
No handwritten signature is required where valid electronic acceptance has been recorded.
26. GOVERNING LAW
These Terms and Conditions are governed by the laws of the Republic of South Africa.
Nothing contained in these Terms and Conditions is intended to exclude rights or protections which may not legally be excluded.
27. FINAL APPLICANT / STUDENT ACKNOWLEDGEMENT
By accepting these Terms and Conditions, I confirm that:
I have read and understood these Terms and Conditions;
the information I supplied is true and correct;
I understand that submitting an application does not automatically mean I have been admitted or registered;
I understand that the full R2,000 Registration Fee must be paid before my registration is complete and before I may enter my first class or active learning environment;
I understand that I may pay the R2,000 Registration Fee as R2,000 once-off, 2 × R1,000, or 4 × R500;
I understand that tuition fees are payable in advance;
I understand that my first tuition instalment must be paid before class access is activated;
I understand that this first payment represents tuition instalment 1 of 12;
I understand that monthly tuition payments require an approved recurring card-payment arrangement;
I understand that ordinary manual monthly EFT payments are not permitted unless specifically approved;
I understand that EFT is ordinarily available only where I pay at least six months in advance or settle the full applicable tuition amount;
I understand that if I commence later than the normal January commencement date, my total programme fee does not automatically reduce;
I understand that a late-start payment schedule may require two tuition instalments to be collected during the same month;
I understand that any applicable catch-up or double-payment month will be disclosed in my approved payment schedule;
I understand that where reasonably possible, catch-up payments may be spread across the remaining payment period;
I understand that a failed scheduled payment must be resolved within seven calendar days;
I understand that if the outstanding payment remains unresolved after seven calendar days, QCMD Institute may deregister me, subject to applicable legal and procedural requirements;
I understand that deregistration may result in loss of access to classes, academic systems, learning material, assessments and support services;
I understand that deregistration does not automatically cancel amounts already lawfully due;
I understand that reinstatement following deregistration is not automatic;
I understand that submitting Proof of Payment does not itself constitute payment verification;
I understand that registration does not guarantee successful academic completion or certification;
I consent to the lawful processing of my personal information for the purposes described in these Terms and Conditions; and
I agree to be bound by these Terms and Conditions, subject to applicable South African law.
